INSTRUCTIONS FOR ORAL PRESENTATIONS

Time Allocation

Depending on the type of presentation being giving, speakers are allocated different amounts of time for their talk.

 Talks during general symposia  20 min

Languages

The official language for the Congress is English. Simultaneous translation into Chinese is available for public lectures.

Presentation upload

All oral presentations will be managed by the organizing committee of IBC 2017. A network-based presentation system will be employed for IBC 2017, along with a conference-specific interface which will ensure perfect quality of all presentations.

Speakers are kindly requested to upload their presentation(s) to a protected server. You will be contacted shortly by the presentation management company (The M Events Cross Media GmbH) regarding instructions on how to prepare and upload your presentation(s). Please review the instructions carefully as they will simplify the on-site processes.

Upload a draft presentation before the Congress

You are strongly encouraged to upload a draft presentation to the network-based presentation system.

You may continue to make changes and to upload new versions in the Speaker Ready Rooms (SRR) during the Congress. Speakers who have uploaded their presentation in advance should still visit the SRR to make sure that the presentation has been received.

Upload a final version on-site at the SRR

You are welcome to visit the Speaker Ready Room to upload your presentation(s). It is strongly recommended that you upload your presentations to the system at least 5 hours prior to your scheduled presentation. If you are presenting in the first session of the day, please visit us during the previous day.

Guidelines for uploading presentations:

- MS-PowerPoint (*.ppt and *.pptx) presentations are preferred. Presentations may include video(s) and/or audio(s). PDF files without video(s) and audio(s) are also acceptable.

- Presentations requiring a password cannot be processed.

- Protecting the intellectual property rights of each presenter/presentation is the cardinal task of our service in SRR. You may therefore trust our technicians assist you.

Presenting

Please arrive at your allocated room at least 10 minutes before the session begins to meet with the session chair(s). Take time to familiarize yourself with the setup at the lectern. You will control/advance the slides during your presentation. Session chair(s) are instructed to rigorously enforce the schedule, i.e. to strictly adhere to the allotted length of each presentation. We kindly ask for your understanding and your cooperation in keeping to the schedule.

Speakers can locate their session rooms in the detailed program provided on the IBC 2017 website, the IBC 2017 mobile app, or in the printed program they will receive at the time of on-site registration.

Additionally, technicians will be available at all times in the session rooms for assistance.

Speaker Ready Room (SRR)

The two Speaker Ready Rooms (SRR) are separately located in the Shenzhen Convention & Exhibition Center (Camellia Hall, Level 5) and in the Sheraton Shenzhen Futian Hotel (Tang 1, Level 6). The SRR, where technicians will be available to assist you, will be open throughout the congress. The SRRs are open from 8:30 to 18:00 during the Congress.The SRRs are open from 8:30 to 18:00 during the Congress. Please note: The Speaker Ready Room (SRR) located in the Sheraton Shenzhen Futian Hotel (Tang 1, Level 6) will be opened from Monday, July 24th, 2017 at 13:30 (1:30 PM). For those who have talk(s) on the afternoon of July 24th, please upload your presentation(s) at the SRR located in the Shenzhen Convention & Exhibition Center (Camellia Hall, Level 5) on July 23th.

Audio-Visual Equipment

The session rooms are equipped with all the necessary technical requirements and an additional backup system. Please note that under no circumstances will personal laptops be permitted.
